How should individual access requests be fulfilled?

Identify the access process that applies to the operator, then arrange proportionate identity checks, a complete search, third-party review and secure delivery. The response deadline comes from the applicable regime, rather than the time needed to produce an export.

Privacy access, freedom of information and informal assistance are different routes. Their coverage and procedures need current local review; a private operator should not assume that every request is a freedom-of-information matter.

The relevant information may span several records

Retrieving a paper file usually meant locating a folder. Connected plate records can span observations, images, permits, notes, corrections and exports. Searchability helps locate material, but also makes completeness and unrelated people's information central to preparing a response.

A spreadsheet of sightings may therefore be only part of the relevant information. A recorded correction or decision note can explain something that the final session fields do not show.

A reviewed response can avoid broad database access

Direct database access is not inherently necessary to answer a request. A targeted response can bring together the relevant records while separating unrelated information, provided the search and review address the request under the applicable process.

Agree the scope and verify the requester's relationship to the records proportionately. The aim is to identify the relevant material and recipient without turning identity checks into unnecessary collection of additional documents.

Include the corrected plate as well as the final session

A visitor disputing one stay may need source images and a recorded plate correction alongside the final session text. Search all relevant categories, separate unrelated people and explain any applicable withholding decision. Keep an index of the material supplied.

Use an approved delivery channel and assign oversight of the response. Producing a CSV is only one step: verifying, reviewing and communicating the material still takes work within the deadline determined by the actual regime.

CORE exports support preparation, not the whole response

CORE's CSV templates prepare selected fields, while plate search and evidence views help locate context. Aero Ranger directs deployment requests to the customer and assists responses. Image packaging, corrections and secure delivery need confirmation for the intended process.

Schedule 4 makes post-exit self-service export conditional on platform availability and payment, but expressly leaves statutory individual requests unaffected. Export availability does not establish that a response is complete or determine its legal deadline.
